This policy explains how Centricity GIS ("we") handles personal information in Centricity Portal, the online permitting and licensing service we provide to city and county governments ("agencies"). When you use an agency's portal, that agency decides what information it collects for its permits and licenses; we process it on the agency's behalf.
Information we collect
- Account details: name, email address, phone number, organization, and password (stored only as a secure hash).
- Application information: what you enter on applications, such as property addresses and map locations, project details, contractor or license numbers, and documents you upload.
- Payment information: fee amounts and payment status. Card and bank details are entered with the agency's payment processor; we do not store full card or bank account numbers.
- Communications: email and text messages sent to you, and your text-messaging consent and opt-out choices.
- Technical information: sign-in times, IP address and browser type, used for security and troubleshooting.
How we use it
- To process your applications, fees, reviews, inspections and licenses for the agency.
- To send you emails and, if you opt in, text messages about them.
- To keep the service secure, prevent fraud and fix problems.
- To meet legal and public-records obligations of the agency.
Who we share it with
- The agency whose portal you use, and the systems it uses to run permits, such as Cityworks and ArcGIS.
- Service providers that help us run the portal: cloud hosting (Microsoft Azure), email delivery (SendGrid), text-message delivery (Twilio), and the agency's payment processor. They may use your information only to provide those services.
- When required by law, such as a court order or a public-records request handled by the agency.
We do not sell personal information. Mobile phone numbers and text-messaging consent are never shared with third parties or affiliates for marketing or promotional purposes.
Text messages
Texts are optional. You can opt out at any time by replying STOP or turning texts off in your account. See the Text Messaging Terms.
Keeping your information
Permit and license records are kept as long as the agency's records-retention rules require. You can ask the agency or us to correct your account information.
Security
Information is encrypted in transit and at rest, access is limited to authorized staff, and every agency's data is kept in its own database.
Your choices
- Update your account details at any time in the portal.
- Turn email or text notifications on or off in your account.
- Ask for a copy or correction of your information by contacting the agency or us.
Children
Centricity Portal is not intended for children under 13, and we do not knowingly collect their information.
Changes
We'll update the date above when this policy changes. Significant changes will be announced in the portal.
